What is Nexova Visitor Management (VMS)?

Nexova VMS is digital lobby software for Indian offices, parks, and campuses. It replaces the paper visitor register with desk check-in, Screen duplicate (Fill their data), live visiting-card / ID scan, host accept/reject with live alerts, late planned-visit notifications, lobby QR, live lobby TV boards, watchlists, badges, multi-chart analytics, and CSV export — on the same Nexova workspace as HRMS and CRM.

How is VMS better than a visitor register book?

A paper book is slow, hard to search, and weak for security audits. Nexova VMS captures structured data, notifies hosts, supports QR walk-ins and AI card scan, shows on-site guests on a live lobby TV, flags watchlist matches and late expected guests, and exports CSV history. What is Screen duplicate / Fill their data?

Reception can open a second-screen link for the host or guest. They tap Fill their data; name, phone, company, and other fields sync back to the desk check-in form so the lobby tablet stays with reception.

Can hosts approve guests from their phone?

Yes. Employees and dedicated VMS hosts get a My guests inbox with live polling. They can accept or reject arriving visitors, optionally enable browser alerts with a chime, and email notify can be enabled when SMTP is configured.

What happens if a planned visitor is late?

When a pre-registered guest is still expected past their planned time (configurable grace, default 15 minutes), Nexova notifies the desk, the host, and the visitor by email. The waiting list also shows a Late badge.

Do we need HRMS to use VMS?

No. VMS works as a standalone module or bundled with HRMS. Hosts can be linked to HRMS employees or managed as standalone host accounts without full HRMS.

What do walk-in visitors see on the public URL?

Each lobby QR opens a branded /visit form. Tenants choose step-by-step or single-page UI, and can show or hide fields. Guests can use Live scan on a visiting card or ID (limited AI scans per device per day). Returning visitors can optionally save soft details on the device for faster check-in.

What about lobby TVs, badges, and analytics?

Create lobby board links for full-screen expected / on-site displays with live refresh. Desk flows support temp visitor badges and photo/ID flags. Desk home and full analytics show area, column, donut, ranked, radial peak-hour, and heat-strip charts.

Can we block risky visitors?

Yes. Maintain a watchlist or blacklist; the desk is alerted on match. Optional NDA acknowledgement and ID/photo checks support security policies.
